How to setup a Health Spas Guide source on SpaGuru

Add Health Spa Guide in the Sources Section of the SpaGuru Settings

  • Menu > Tools > Settings > Sources > New
  • Name: Health Spas Guide
  • Code: HSG
  • Commission: Leave Blank
  • Client Account: Create a Client called Health Spas Guide and save
  • Click OK

Add Health Spas Guide Services to the SpaGuru Services Section

NB: Only follow the steps below if you sell service vouchers through Health Spas Guide

  • Add the service under a Health Spas Guide Category and provide it with a service name such as e.g. HSG Swedish Massage
  • Set the sell price of the service to the amount that you will receive as payment from Health Spas Guide for the service (e.g. Service amount less commission)

 

How to Capture Bookings & Record Health Spas Guide Payments

OPTION 1: What to do when a client makes booking with a Health Spas Guide Service Voucher 

  • Create a booking on SpaGuru for the Health Spas Guide Service in the clients name
  • Set the source of the booking to Health Spas Guide
  • When you invoice out the booking it will automatically set the invoice to the Health Spas Guide account
  • Add the Health Spas Guide voucher number to the reference field of the SpaGuru invoice 
  • Save the Invoice
  • Close the receipt when it opens up by clicking the X on the top right hand corner of the Receipt Screen. A message will pop up asking if you want to save changes, select No. Another message will pop up warning you that the client has an outstanding balance, select Yes.
  • The Health Spas Guide client account will automatically be updated and their account will display the amount due to your spa. You can view this account balance by going to the Health Spas Guide client's profile in the Clients Section on SpaGuru or running a client statement for the Health Spas Guide Client.

OPTION 2: What to do when a client makes booking with a Health Spas Guide Value Voucher 

  • Create a booking on SpaGuru for your normal service in the clients name
  • Set the source of the booking to Health Spas Guide
  • When you invoice out the booking it will automatically set the invoice to the Health Spas Guide account
  • Add the Health Spas Guide voucher number to the reference field of the SpaGuru invoice 
  • Add the commission % that Health Spas Guide claims from you to the discount column for the service line item on the invoice e.g. 20% or 15%
  • Save the Invoice
  • Close the receipt when it opens up by clicking the X on the top right hand corner of the Receipt Screen. A message will pop up asking if you want to save changes, select No. Another message will pop up warning you that the client has an outstanding balance, select Yes.
  • The Health Spas Guide client account will automatically be updated and their account will display the amount due to your spa. You can view this account balance by going to the Health Spas Guide client's profile in the Clients Section on SpaGuru or running a client statement for the Health Spas Guide Client.

OPTION 3: What to do when a client makes booking with a Health Spas Guide Value Voucher where only a portion of the Voucher is used

  • Create a booking on SpaGuru for your normal service in the clients name
  • Set the source of the booking to Health Spas Guide
  • When you invoice out the booking it will automatically set the invoice to the Health Spas Guide account
  • Add the Health Spas Guide voucher number to the reference field of the SpaGuru invoice 
  • Add the commission % that Health Spas Guide claims from you to the discount column for the service line item on the invoice e.g. 20% or 15%
  • Add a custom item for the outstanding amount that the client did not use and add your commission % that Health Spas Guide claims from you to the discount column.
  • Although the client has not used their full voucher amount you still need to invoice Health Spas Guide for the full amount
  • Save the Invoice
  • Close the receipt when it opens up by clicking the X on the top right hand corner of the Receipt Screen. A message will pop up asking if you want to save changes, select No. Another message will pop up warning you that the client has an outstanding balance, select Yes.
  • The Health Spas Guide client account will automatically be updated and their account will display the amount due to your spa. You can view this account balance by going to the Health Spas Guide client's profile in the Clients Section on SpaGuru or running a client statement for the Health Spas Guide Client.
  • Issue the client with a new voucher for the outstanding amount.
  • Add the voucher to the vouchers section of SpaGuru 

What to do when you receive payment from Health Spas Guide

  • Go to the receipts section of the financial section on SpaGuru
  • Click the new receipt button
  • Set the client to Health Spas Guide
  • Set the date of the receipt to the date Health Spas Guide paid you on
  • Set the amount due and amount received fields to the amount your received as payment from Groupon
  • Set the method field depending on how Groupon made payment e.g. Electronic

 

Reports for viewing the Health Spas Guide account info & redeemed voucher numbers

  • To view the Health Spas Guide account and to see what Health Spas Guide still owes your business: Go to Menu > Reports > Clients > Client Statement
  • To view all Sales received from Health Spas Guiide + voucher numbers: Go to Menu > Reports > Sales > Sales by Source
  • You can email the Client Statement to Health Spas Guide on weekly basis to notify them of the payment required.
